How Do We Calculate Cost

We have many options available to increase the capability of our program to fit your needs and manage costs.

The annual maintenance fee is based on the number of Active Students you have in the system, and each optional module you select has a related cost.

You can manage the active students by archiving profiles of students (those who have graduated, are not longer enrolled, etc…), and there is no cost associated with archived students.

What Information We Need

AIM bases the pricing on the number of Active Students in the system. One of the best starting estimates for Active Students is the number of students who were granted accommodations in the last year.

We serve customers with only 50 active students to large Universities with over 8000 Active Students, our system is scalable.
  • To provide a quote we only need your estimate for Active Students.
  • If you know the modules you want to have or not use, that is also useful information in generating a quote, but customization can occur later.

Deployment Plan

AIM will help you streamline processes, reduce paper files, and manage the case files more efficiently. As with any new software system, implementation will take some time and resources. Exactly how much depends on many variables, but we are available to help guide you through that process.

AIM provides training for your Staff on the software. Our Implementation team works with your IT resources to implement the SSO, Data Feeds, and E-mail settings. And we move at the speed set by you. Most implementation take about 3-4 months to complete, but we move at a pace that is set by the available resources to you during implementation.

And the Implementation of IT pieces can be done concurrently with the configuration settings by the Office Staff to lay down the processes within the system.

School IT Involvements

Once your site is built, we handle all support questions with the software, relieving the IT department from that workload.

During the setup, we work with IT to configure the following selections if chosen:
  • Single Sign On (CAS or SAML2).
  • Logo in SVG.
  • Term or semester codes (i.e. 202510 or 25FA for Fall 2025).
  • Data feed: course information, student courses, student demographic, GPA, bookstore feed, notetaker courses, and potential notetaker recruitment.
  • Email setup (DKIM and DMARC).

Legacy Data

If you have historical data you want imported into the system, here is what we need to facilitate that import in an electronic format:
  • A list of Students with Student IDs and their status (Active, Archived, or In Application).
  • Student disability and eligibility information. When setting up in DSMS, you will need to provide us DSMS ID of each eligibility type and disability type from the previous system.
  • Student Case Notes.
  • Student files (PDF or Images).

Commitment

Our goal is to get you online with our system within the timeframe you want. In working at the speed of your office, we commit to:
  • Reviewing and importing sample data provided by your office regarding student data withi 5 business days. The sample import will provide your office with the opportunity to review student disability and eligibility data from the previous system.
  • Review sample data (course information, student courses, student demographic, GPA, bookstore feed, notetaker courses, and potential notetaker recruitment) provided by IT within 3 business days.
